What we build

What we build, when nothing off the shelf fits.

Every Custom CRM starts from a real problem, not a template - illustrative categories below, not a list of past clients.

Booking & reservation portals

Most booking systems are built for one kind of business and bent to fit everyone else. We build the other way round - starting from how your availability actually works, then shaping a calendar and enquiry pipeline around that, rather than asking you to describe your business in someone else's terms.

That might mean a single resource booked one slot at a time, several rooms or units running in parallel, or a whole season of dates that need holding, confirming and releasing without ever double-booking. Whatever the shape, the enquiry-to-confirmed pipeline sits in one place, so nothing gets tracked across three separate inboxes and a paper diary.

  • Availability modelled on how you actually take bookings, not a generic slot picker
  • Enquiry-to-confirmed pipeline with holds, follow-ups and automatic stalled-lead flags
  • Calendar view built for the business, whether that's one resource or dozens running side by side

Post-event & attendee admin

Once someone's said yes, a whole second job starts - guest lists, RSVPs, dietary needs, who's sitting where, who's staying over. Left in a spreadsheet, that's where things genuinely go wrong: a missed allergy, a guest counted twice, a seating chart that's three versions out of date by the time it reaches the caterer.

We build this as a proper record tied to the booking itself - guests invited through their own link, responses (including the UK's 14 major allergens, not a free-text guess) landing straight against their name, and a drag-and-drop floor plan that pulls from the same guest list rather than a separate document that drifts out of sync.

  • Self-service RSVP with proper dietary and allergen tracking, not a comments box
  • Drag-and-drop floor planning that reads straight from the same guest list
  • Group invites, individual links, and a printable table-by-table plan when you need paper on the day

Licence-gated software

If you're selling software rather than a service, giving it away with no control over who's running it isn't really an option. We build proper licence-key systems into the software itself - generated in a consistent format, checked at the points that matter, and tied to the install it was issued for.

That covers the whole lifecycle: issuing a key when someone signs up, domain-locking so it only runs where it's meant to, and a clean way to deactivate an install if a licence lapses - without any of it depending on a constant "phone home" check that would be its own liability if your licence server ever went down.

  • Licence keys generated and tracked in a consistent, checkable format
  • Domain-locking so a key only activates where it's supposed to
  • A clean deactivation path for a lapsed licence, without fragile constant check-ins
The shapes we see most often

Booking & reservation portals

Availability that works the way your business actually books, not a generic slot picker.

Post-event & attendee admin

Guest lists, check-in, RSVPs - everything an event needs once people say yes.

Licence-gated software

Keys, activations, domain-locking - control exactly who's running what you've built.

Invoicing & recurring billing

Recurring invoices and payment tracking, generated automatically.

Multi-division portals

One login, several trading arms or teams, each with its own view.

Calculators & instant quoting

Real logic behind an instant figure, not a "from £X" that starts another conversation.

Invoicing & recurring billing

Chasing payments by hand doesn't scale much past a handful of clients. We build billing straight into the system a business already runs on - invoices generated automatically on schedule, matched against what's actually been paid, with a running total that's always current rather than reconstructed at month-end.

That's as true for a one-off invoice as it is for a rolling monthly charge across dozens of active accounts - the same logic that runs PixelBay's own client billing, built to the same standard for anyone who needs it.

  • Recurring invoices generated automatically, no manual monthly run
  • Payments matched against what's due, with a running total kept current
  • Built to handle one client or several hundred, the same way

Service & garage booking

Trades and garages run on a rhythm that off-the-shelf booking tools rarely fit properly - a job booked in, a bay or technician allocated, parts and time logged against it, and a service history that actually means something the next time that customer's vehicle or equipment comes back through the door.

We build that as one system rather than a booking calendar bolted onto a separate customer database - so a returning customer's history is right there when they call, not three systems away.

  • Job booking and scheduling built around your bays, technicians or capacity
  • Full service history against each customer, not a fresh record every visit
  • Reminders for the next service due, not left to a phone call you have to remember to make

Multi-division portals

Some businesses aren't one operation, they're several trading under one roof - different divisions, different processes, sometimes different staff, but one owner who needs to see all of it without logging into three separate systems to piece the picture together.

We build these as one system with proper separation built in - each division gets its own view, its own categories and fields where it needs them, while the person at the top can still see everything in one place rather than reconciling exports from each part of the business by hand.

  • Each trading division gets its own view, without needing its own separate system
  • One owner-level view across every division, built in rather than exported and stitched together
  • Staff only see the division they work in, if that's how access should work

Calculators & instant quoting

For a lot of products, the price genuinely does depend on the specifics - dimensions, materials, quantity, distance, whatever drives the real cost. Making a customer fill in an enquiry form and wait for a callback just to hear a number loses sales that a straightforward instant calculator would have closed there and then.

We've built calculator suites that do exactly that - proper logic behind the scenes working out an accurate figure instantly, not a rough "from £X" that turns into a longer conversation later. The same approach scales from one calculator on a single product page to a full suite covering an entire catalogue.

  • Real pricing logic behind the number, not a rough estimate
  • Instant answer on the page, no waiting on a callback for a figure
  • Scales from one calculator to a full suite across a whole product catalogue
