Questions, answered properly.
Getting started, what you'll need, and exactly how the pricing works - no silly hidden terms, just the honest version.
What is PixelCRM?
PixelCRM is a CRM - a customer relationship manager. It's one place to keep every enquiry, customer and job, follow everyone up on time, and see how the business is doing. We build it, install it on your own website address and set it up in your own logo and colours, so it looks like part of your business. There are three versions: Venue CRM, Business CRM and Custom CRM.
What is Venue CRM, and who is it for?
Venue CRM is for wedding and event venues: barns, country houses, marquee and tipi hire, function rooms, exclusive-use and multi-day event venues. Enquiries land in it straight from your website. You book tours, then turn an enquiry into a booking, send the contract to sign online and set up the payment plan. Each couple gets their own private portal where they sign, pay, message you and build their guest list, RSVPs and table plan, and on the day you see everything in one planner. From £125 a month, all in. See Venue CRM.
What is Business CRM, and who is it for?
Business CRM is for businesses that sell a service or a job: trades and contractors, consultancies, agencies, recruitment, estate and letting agents, field sales teams and professional services. Leads arrive from your website forms, phone or email and move through your own pipeline stages, from first contact to quote to won. Site visits, tasks and reminders make sure nobody is forgotten, companies and contacts sit together, and reports show where your work comes from. From £75 a month, all in. See Business CRM.
What is Custom CRM?
For when your process genuinely doesn't fit either of the above. We scope it with you and build a system around how you actually work, then quote it, usually at a one-off price. Once it's built and paid for, you own that build outright - no licence, and you can use it on your own domains. PixelBay keeps the rights to its own code, so it can't be copied or resold. Occasionally a Custom build is agreed monthly instead - that route is licensed like Business and Venue CRM and never turns into ownership. See Custom CRM.
Which one do I need?
A simple rule: if you sell a date - a wedding, an event, a stay - with guests and a big day to plan, it's Venue CRM. If you sell a service or a job and need to track leads through to won work, it's Business CRM. If neither sounds like you, it's probably Custom, and we'll tell you honestly. The quickest way to decide is to try both in the playground, or book a demo and we'll show you.
Why is it a good investment?
Because it replaces the spreadsheets, sticky notes and separate tools most businesses juggle, and makes sure every enquiry gets followed up - one extra booking or job won usually covers the cost. There are no per-seat charges, so your whole team can use it, it's set up for you rather than left blank, it carries your brand rather than ours, your data is always yours, and there's no minimum term.
What happens after I book a demo?
We set up a private preview of the build that fits, open for the time you chose, and we're on hand to answer anything you're unsure of. No pressure and no script - if it's not right for you, we'll say so.
How long does setup actually take?
Business and Venue CRM are usually live within days of agreeing to go ahead, since the core is already built. A Custom build depends on scope, and we'll give you a realistic timeline once we've mapped out your process.
Do I need any technical knowledge to run it?
No. It's built to be used day to day without needing to understand what's under the bonnet. We handle the technical side of installing and maintaining it.
Can I move over from my current system?
Possibly, by arrangement. Moving data across from another system isn't always possible, and depending on how much there is and what format it's in, there may be a charge. If you need it, let us know before you book and we'll check what can come across and confirm everything first.
What's the difference between Business, Venue and Custom CRM?
Business CRM is a lead and pipeline system for any sales team. Venue CRM adds everything specific to running a wedding or event venue - guest lists, floor planning, contracts. Custom CRM is for when neither fits your actual process, built from scratch instead. See how they compare side by side.
Can I see it working before I decide?
Yes - open the playground and click around your own private copy straight away, or book a demo and we'll set up a private preview just for you, open for a time that suits you.
Do you offer training once it's live?
Not formal training, no - it comes with a comprehensive help guide covering how everything works, and we're on hand if you get stuck.
Is there a mobile app, or does it work in a browser?
Yes. Add it to your phone's home screen and it works like an app, full screen from its own icon in your colours, with alerts for new leads, customer messages, signed contracts and payments. No app store needed, and it works in any browser too.
Do I need a password?
No, there are no passwords anywhere, for you, your team or your customers. Every sign-in is a one-time code sent to the email on record, and each phone or computer stays signed in for 30 days. If a phone goes missing, sign it out from any other device.
Can I add the forms and a login link to my own website?
Yes. Every form comes with a simple snippet to paste into your website, and there's a link your customers use to sign in. If you'd rather we built them into your site for you, styled to match, we can do that as a paid extra, quoted before anything is agreed.
What happens to my data if I ever stop using it?
It's always yours. You can export everything to CSV at any point, whether you're actively using the system or winding it down. See pricing for what happens to access specifically if a licence lapses or is cancelled.
Can more than one person use it at once?
Yes, with no per-seat charge - add your whole team, each with the right level of access (Owner, Manager or Staff).
What if I need a feature that isn't there yet?
Tell us. If it's broadly useful we may build it into Business or Venue CRM for everyone. If it's specific to how your business works, that's usually a sign a Custom build or a scoped addition suits better - we'll be honest about which.
Do you build integrations with tools I already use?
API and webhooks are available on every Business and Venue build, so most tools that can send or receive a web request can connect in. If you need something more specific built and tested, that's a conversation worth having.
How do updates and new features get rolled out?
As part of your licence - improvements to Business or Venue CRM roll out to every install running that build, not just new customers.
Is my data backed up?
Yes, automatically and regularly, on every Business and Venue CRM install, at no extra cost.
Can I actually speak to a person, not a support ticket queue?
Yes - support comes direct from the people who built it, not a queue. See support or just get in touch.
Who is PixelBay Agency?
A Yorkshire-based studio that's been designing, building and looking after websites and web software since 1999. PixelCRM is built and supported by PixelBay directly. More about why that matters →
Do you offer a discount for switching from another platform?
Worth asking - get in touch and tell us what you're moving from.
What hosting do I need?
Any standard hosting that supports PHP - most shared or cloud hosting plans already do. There's no separate database to set up: everything is stored in one file, kept in a private folder outside your website, so there's nothing extra to install, pay for or manage. If you can't get into your hosting, or your host won't allow it (some WordPress-only hosting and website builders like Shopify don't), we can host your CRM on a subdomain on our system instead, by agreement. You'd need to be able to add one DNS record at your domain provider so it works on your own address. Not sure? Contact us before you book and we'll check it with you. It's still your data either way.
Do you need FTP access?
For the initial install, yes - FTP or a file manager login. There's no database to create and no database password to share, because everything is stored in one private file. Once it's live, day-to-day use doesn't need any of that.
Do I need my own domain?
Yes, PixelCRM runs on a domain you own by default, not a shared subdomain. If your hosting can't run it, we can host it on a subdomain on our system, by agreement - see the hosting question above. If you don't have a domain yet, we can point you in the right direction.
What about SSL and security?
An SSL certificate is required and most hosts provide one free. We'll confirm it's set up correctly as part of the install.
What information do you need from me to get started?
Hosting login details (or, if we've agreed to host it for you, the ability to add a DNS record), your domain, and a logo and brand colour if you have one. It's installed from our own pre-built product, so you're not starting from a blank system - you can then set up your own pipeline stages and fields yourself using the help guide.
Will installing this affect my existing website?
No - it installs into its own folder or subdomain, separate from your main site. Your website carries on exactly as it is.
Is there any downtime during installation?
None for your existing website. The CRM is a separate install, so there's nothing to take your current site offline while it's being set up.
Do you need admin access to my hosting account?
FTP or file manager access is enough for the install itself. We don't need broader account admin access beyond that.
What if my hosting doesn't support what's needed?
Most standard PHP hosting already does, and there's no separate database to set up. Any cost for this is agreed with you before anything is set up.
Can I switch hosting providers later?
Yes - let us know and we'll move it for you.
Will my email still work normally during setup?
Yes, setup doesn't touch your existing email at all - Business and Venue CRM send their own follow-ups from your domain separately, alongside whatever email you already use.
Do you set up my custom fields and pipeline, or do I do that myself?
We install it and set up what we can from the information you've given us - branding, SMTP, the basics. Your pipeline stages, fields and categories are your own slot to set up, using the help guide - email or WhatsApp us direct if you get stuck. If you'd rather we set them up for you, we can, and it's reflected in your monthly price.
How do I access the admin portal once it's live?
We'll send you the address once the install is complete. There are no passwords: you type your email and we send you a one-time login code. It sits at whichever address was agreed - your own domain, or the subdomain we've agreed if we're hosting it.
Do I need to be present during the install?
No - once we've got what we need from you, the install itself doesn't require you to be online or available. We'll confirm once it's live.
If you host it for us, how long does it take to go live?
Usually within a few hours of you adding the DNS record, though it can occasionally take up to 24-48 hours depending on your domain provider. If you're not sure how to add one, contact us first and we'll talk you through it.
How does the pricing actually work?
Business CRM is from £75 a month and Venue CRM from £125 a month, all in - the licence, setup, updates and support. No setup fee, no per-seat charges and no minimum term, it rolls month to month. Your data is always yours regardless. A Custom build works differently: scoped with you, then usually quoted at a one-off price and owned outright - or occasionally agreed monthly, in which case it's licensed like Business and Venue CRM. See the full pricing page for the details.
Are there any hidden terms?
No. What you're quoted is what you pay. No setup fee, no forced annual contracts, and no cut-down plan with half the features missing - every Business or Venue install gets the full product.
Do I own the software?
No. Business and Venue CRM are licensed to you monthly, which is why there is no big upfront cost. The licence lets your business use your installation for as long as it stays active. It never turns into ownership. What you put in it is always yours: your data, your content and your brand. You can export everything at any time.
Is there a setup fee?
No. We set it up for you on your own domain, with your logo, colours, email and forms, and that is included. You pay one monthly price.
Why does it say "from"?
The price shown is the base monthly licence. If your setup is bigger or more complex, for example several sites or a lot of setup work, we quote a monthly price before anything is agreed. It is never an upfront fee.
Why not just use one of the big subscription platforms?
Most of them are built to maximise recurring revenue for the platform, not value for you - per-seat pricing that punishes growth, contracts that lock you in, and your data sat on servers you don't control. That's the gap PixelCRM was built to fill: straightforward pricing and a system self-hosted on your own domain by default (or ours, as a fallback, if your host won't allow it) - not locked on someone else's platform. And if you'd rather own the build outright, a Custom build is usually quoted at a one-off price and owned once it's paid for.
Can I cancel, and what happens if I do?
Yes. There's no minimum term - the licence rolls month to month, so you can cancel by letting us know, with no penalty. We give you your data and help you export it, and your licence to use PixelCRM ends. The software itself stays with PixelBay.
What payment types do you accept?
UK clients pay by bank transfer, usually a standing order. Clients outside the UK can pay by card. Get in touch if you need specifics for your setup.
Is VAT added to the price?
No. PixelBay isn't VAT registered, so no VAT is added. The price you see is the price you pay.
What happens if we fall behind on a payment?
We don't punish anyone for a billing hiccup. If a licence lapses, admin access goes read-only rather than being cut off outright - nothing gets deleted, and any public-facing part your customers use (like Venue CRM's couple portal) keeps working normally throughout. You can pick back up once it's sorted.
Can I switch from Business to Venue CRM, or vice versa, later?
No - Business and Venue CRM run on one shared, hand-coded core, with different parts switched on for each. If you genuinely need elements of both, that's what a Custom build is for.
Is support included in the price, or extra?
Included, direct from the people who built it - not a separate paid tier. See support.
Can I get a proper invoice for my accounts?
Yes, you get a proper invoice for every payment.
Can I try it for free?
The playground gives you 30 minutes in your own private copy, with sample data - no card and no sign-up call. Or book a demo and we'll set up a private preview just for you, open for a time that suits you. For a Custom build, you'll see it working properly as part of the handover, well before final sign-off. When you're ready, we set up your real one.
How is a Custom CRM build priced differently?
Quoted once it's properly scoped, rather than a fixed monthly figure - usually a one-off price, and the finished build is owned outright. Occasionally it's agreed monthly instead, which is licensed and never owned. See the full Custom CRM FAQ →
